Missing invoices: download, duplicate or correction?
Compare Apple and Google billing routes with a seller request in Spain, and distinguish a missing invoice from an invoice that needs correction.
Use retrieval first when the document exists; ask the issuer to resolve loss or errors when it does not meet the need.
Editorial review:
Comparison criteria
- Correct seller, account and purchase.
- Invoice versus receipt or order confirmation.
- Retrieval, duplicate and correction distinguished.
- Issuer-origin document and traceable follow-up.
Reviewed 15 October 2026 using official store help, Google documentation, BOE and AEAT. The order starts with two self-service examples, then issuer intervention, then preparation. It is a procedural sequence, not a comparison of tax outcomes or response speeds.

Identify the document before chasing it
Identify the seller, purchase reference, date, amount and account used before requesting a document. Search the purchase email and account history. A marketplace name may not identify the invoice issuer.
Distinguish an existing invoice, a duplicate after loss and correction of an inaccurate document. Tell the issuer which problem occurred. Apple and Google illustrate retrieval; Spanish invoicing sources explain correction. This guide does not establish tax deductibility.
1. Apple Online Store order self-service
Apple’s Spanish shopping help lists invoice printing among the functions in order status. It provides access through an Apple Account and also describes identifying an order without one. Use this route for the relevant Apple Online Store order, rather than assuming every purchase involving an Apple device appears there.
The benefit is retrieving the issuer’s document without composing a new request. The limit is matching the correct sales channel and order. An App Store subscription or purchase from a separate retailer should not be searched as though it were the same store transaction. If the document is unavailable or wrong, use the support route associated with that order.
2. Google payments transaction history
Google’s VAT guidance directs eligible purchases to the transaction details in payments activity, where an invoice or VAT receipt can be downloaded. Availability depends on the purchase and country. The guide also explains that the legal address reflects the purchase date and cannot simply be changed on the issued document afterward.
This route works best when you can identify the right Google account and transaction. Check tax-identification requirements and do not assume changing a profile rewrites older documents. If necessary details are missing, ask support what procedure applies to the actual purchase; do not alter the downloaded invoice yourself.
3. Request a duplicate or correction from the issuer
For a Spanish invoice, Article 14 of the invoicing regulation addresses duplicates, including loss of the original. Article 15 and AEAT guidance distinguish correction of an invoice that fails applicable requirements or contains specified tax errors. These are different from merely asking for another download.
A useful request identifies the purchase and existing invoice, describes the missing document or exact incorrect field, and supplies the information the issuer needs to review it. Ask the issuer to determine the appropriate document. Do not demand an unrelated new sale date or silently substitute a different purchaser.
The advantage is addressing the actual defect when self-service cannot. The limitation is that the seller must act and may need further information. Preserve the original and any resulting correction together. The applicability of particular tax rules depends on the transaction; request qualified help when that is the unresolved question.
4. Pide tu Factura (our product)
Pide tu Factura prepares a letter with seller, purchase reference, billing details and reply channel, plus a manual local record. It does not contact the seller, issue an invoice, validate tax details or verify receipt. The generated request is not itself a fiscal document.
Use the draft to reduce missing information before submitting through the seller’s accepted channel. Record external actions and replies yourself, keeping the source files separately. This guide is free; initial preparation and paid workspace conditions differ. Paying for our tools does not make us the issuer of your purchase invoice.
FAQ: Is a bank charge enough?
It helps identify a payment but does not by itself establish that you have the required invoice. Match the charge to the seller and order, then retrieve or request the appropriate document. Avoid sending unrelated statement transactions when a narrower reference will suffice.
FAQ: Can I fix the name in a PDF editor?
Do not alter an issuer’s document to make it appear corrected. Explain the issue to the issuer and retain the answer and any replacement or corrective document. Your private note about an error should remain distinguishable from the original invoice.
FAQ: Should I request another invoice number after losing a file?
Say that the original is missing and ask for retrieval or the appropriate duplicate. A lost file does not mean the purchase happened again. Give the original number if known, otherwise enough purchase information to locate it.
FAQ: When is the request complete?
Completion means receiving the issuer’s document and checking it against the purchase. An acknowledgement or manually checked task only records progress. Ask the issuer to resolve remaining discrepancies.
Example: the download exists but the request is wrong
A freelancer cannot find a laptop invoice and drafts a request for a new invoice. They locate the order download and discover the real issue is an incorrect billing field. This fictional example changes the next action: identify the existing invoice and ask the issuer how to correct that specific error.
They retain the downloaded file, the request and the reply in sequence. They do not edit the original or mark the case complete merely because support acknowledged the message.
Include only what resolves the request
- Seller, order or invoice reference and purchase date.
- The specific problem: missing copy or incorrect detail.
- Necessary billing information and preferred reply channel.
- Original documents and actual submission or reply evidence.
